Job Description

SUMMARY:

The Real Estate Analyst will support Asset Managers and the SVP of Portfolio Management for a growing portfolio of properties. The Real Estate Analyst ensures accuracy and efficiency by managing lease abstracts, CAM estimates and reconciliations, and annual budgeting. Their work in maintaining property records in Yardi, monitoring tenant compliance, and generating portfolio-specific reports contributes to the overall efficiency and profitability of the portfolio. This role provides a valuable opportunity to learn a variety of tasks and build a strong foundation for career development in the real estate industry.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Manage lease documentation, including routing leases, renewals, and amendments for signatures through DocuSign.

• Set up, organize, and maintain tenant leases, correspondence, and related billing information in iManage.

• Add/setup lease in Yardi including rent schedules, escalations, space(s)/unit(s), deposits, and CAM (Common Area Maintenance) expense pools.

• Prepare lease abstracts in Yardi capturing tenant’s use, square footage, options, tenant improvement, among several other items.

• Prepare all CAM estimates following the completion of budgets and perform CAM reconciliations after year-end. This includes scrubbing the general ledger to ensure accurate classification of expenses, maintaining tenant cap information, and managing any exclusions per lease language.

• Maintain amortization schedules for capital improvements passed through to tenants in CAMs.

• Monitor and maintain tenant insurance for compliance with lease terms.

• Monitor tenant aging and proactively reach out to tenants regarding overdue balances.

• Set up job numbers in Yardi's Construction Manager, including accurately identifying the type of job and determining how it should be allocated, if applicable.

• Budget property taxes, insurance, management fees, debt, ground lease payments, and amortizations during the annual budgeting process.

• Set up properties in Yardi, maintaining accurate records of square footage, acreage, space/unit information, and various property attributes.

• Generate various reports, including biweekly portfolio reports, monthly insurance reports, monthly straight line rent reports, and quarterly security deposit audits.

• Communicate with tenants in a professional manner and address tenant and lease-related questions.

• Stay current on Yardi modules to help create best practices.

• Maintain current business licenses and submit payment requests to Accounting.

• Conduct periodic on-site visits with Asset Managers or Property Managers.

• Shadow Asset Managers on deals, lease negotiations, and construction management when time permits.

• Collaborate with other department personnel to achieve common service delivery goals and ensure owner and tenant satisfaction.

• Perform other related duties as assigned, representing the company to outside agencies and organizations.

 

Requirements

QUALIFICATIONS:

To excel in this role, the Real Estate Analyst must effectively fulfill each essential duty. The requirements reflect the necessary knowledge, skills, and abilities for success. Strong communication skills are crucial, along with the ability to manage multiple projects and meet deadlines while maintaining a high level of detail. Self-management and multitasking are essential. The below key qualifications collectively ensure the Real Estate Analyst can effectively manage responsibilities, support operations, and maintain productive relationships inside and outside the organization.

· Two (2) to five (5) years of experience supporting real estate/asset or property management, including clerical responsibilities.

· Meticulous attention to detail for accurate extraction of critical information from various data points.

· Capability to analyze complex lease terms, financial obligations, and to ensure accuracy and compliance.

· Proficient use of real estate software such as Yardi, Argus and Excel for systematic data management.

· Effective verbal and written communication skills to convey lease terms clearly.

· Strong prioritization skills to meet deadlines while managing multiple projects.

· Ability to identify discrepancies, resolve issues, and propose solutions.

· Commitment to ethical practices and confidentiality in handling sensitive lease and financial information.

· Professional demeanor, high energy, and ability to work independently.

· Strong organizational skills and task orientation in a fast-paced, team-oriented environment.

· Ability to adapt to changing priorities while maintaining a friendly, approachable demeanor.

· Proficiency in drafting correspondence, detailed notes, and reports, and presenting information clearly and concisely.

· Must have reliable transportation.

· Must be willing to travel, when necessary.

· Real estate salesperson license or ability to obtain within first twelve months.

· Bachelor’s degree required or equivalent asset manager experience.
