Office Manager Opportunity at The Cheer Pitt Kansas City

Are you a highly organized and detail-oriented professional looking to make an impact? The Cheer Pitt Kansas City, a trusted cheerleading company in Olathe, KS, is seeking an Office Manager to join our team. If you're passionate about supporting a thriving business, this could be the perfect role for you! The position is from 12 PM to 8 PM .

Key Responsibilities:

Daily Duties:

  • Answer phone calls and address inquiries via email and messaging
  • Confirm and manage appointments, including handling last-minute changes
  • Monitor tuition payments, oversee AutoPay transactions, and resolve issues
  • Apply late fees and communicate with families as needed
  • Serve as a main point of contact for staff, members, and vendors

Weekly Duties:

  • Maintain and update class and private lesson schedules
  • Post tuition payments to accounts and reconcile AutoPay transactions
  • Process payroll and verify employee timesheets
  • Ensure member profiles, waivers, and registration forms are current and accurate
  • Oversee gym cleanliness schedule and inventory for vending machines
  • Update gym announcements on the website and through Band
  • Provide weekly updates and status reports to leadership

Social Media & Communication Responsibilities:

  • Plan and schedule engaging social media posts (Instagram, Facebook, etc.)
  • Respond professionally to messages and comments
  • Assist in creating content that aligns with the gym’s culture and events
  • Ensure accurate and consistent information is posted across all digital channels

Monthly/Seasonal Responsibilities:

  • Distribute tuition reminders and account statements
  • Manage Spirit Wear orders and inventory
  • Coordinate competition logistics, including hotels, travel, registration, and packets
  • Process new hires, junior coach applications, and team updates
  • Ensure waivers and other important documents are properly filed

Additional Responsibilities:

  • Register students for events, competitions, and special programs
  • Onboard new members and distribute welcome materials
  • Coordinate with vendors and maintenance teams when necessary
  • Assist with special events, clinics, team meetings, and other projects
  • Maintain and update internal forms and documentation

Requirements:

  • At least 2 years of administrative or operations experience (experience in cheer, gym, sports, or child enrichment is a plus)
  • Exceptional organizational and multitasking skills
  • Strong written and verbal communication abilities
  • Proficiency with Google Suite, scheduling software, and basic accounting/payment platforms
  • Comfortable with social media management and posting
  • Ability to work evenings or weekends, especially during competition seasons and events
  • Positive, proactive attitude with a strong team-first mindset
